LEAD MEDICAL RECEPTIONIST

We are looking for someone to greet our patients and visitors in Maple Grove and assist patients with clinic appointment scheduling in a professional, courteous, and efficient manner. The receptionist will use multiple electronic medical records and work in a fast-paced environment.

Major Duties and Functions:

• Efficiently and accurately schedule appointments using the scheduling software to facilitate and maximize the physicians’ efforts. Make necessary outgoing calls to confirm, move, or cancel clinic appointments as directed.
• Greet and assist patients and visitors entering the clinic in a prompt and welcoming manner.
• Perform clerical duties, including sorting and sending mail, faxes, and reports; answering and handling phone messages and distributing them to appropriate clinic staff.
• Monitor reception area for cleanliness and extended waiting times for patients.
• Communicate added appointments to the Medical Records team to ensure the patient’s chart is ready.
• Cooperate with the allied health professionals and Medical Assistants to complement the physicians’ practice.
• Handle patient accounting functions per clinic protocol, such as collecting co-pays due from patients in accordance with the clinic’s credit/collection policy, processing co-payments received and sending them to the Central Business Office.
• Perform patient registration functions, such as updating and verifying patient demographic and financial data at check-in; ensure verification of insurance via web-based insurance sites, including subscriber information for all clinic patients; enter demographics and appointments for all clinics; check in tenant physician patients per protocol; and process and distribute paperwork received from satellite clinics.
• Handle other duties as assigned by the Clinic Manager or direct supervisor.

The receptionist must recognize and comply with legal regulatory, accrediting, and procedural requirements related to each area of responsibility. The person also protects patient and team member privacy and only accesses patient and/or team member-related information as needed to perform job duties. The receptionist also must report violations or areas of concern to a supervisor or Corporate Compliance Officer via established methods of communication.

Job Requirements

• A high school degree or equivalent is preferred. Individuals with formal training and experience in the health care industry will be considered.
• A minimum of one year of experience is preferred, and previous employment involving public contact is necessary.
• Demonstrated experience in or ability to do the following is required:
  • Work and communicate effectively with patients, physicians, management, staff, and public.
  • Manage multiple tasks simultaneously, establish priorities, and coordinate work activities.
  • Schedule clinic appointments.
  • Handle payments and receipts.
  • Receive and greet patients.
  • Answer and make phone calls.
  • Perform clerical tasks, including taking inventory and ordering supplies.
  • Use telephone and paging systems.

A minimum of one year of experience in the health care industry is preferred, along with knowledge or experience with health insurance plans. Must maintain strict confidentiality, possess a strong work ethic, and have excellent attention to detail. We are looking for someone with maturity and a professional appearance who is patient, courteous, tactful, and friendly. The receptionist must be able to work as a team member, take direction, and follow practice policies and processes. Occasional off-hours work may be required.

CLINICAL ASSISTANT (Medical Assistant or LPN)

Are you interested in managing the flow of patients through a clinic and assisting providers with the management and treatment of those patients? If so, we would love to talk with you. We are looking for someone to provide these services, as well as telephone support and communication between patients and providers. The Clinical Assistant takes direction from the Clinic Supervisor, Director of Operations, and providers.

Major Duties and Functions

• Perform multiple duties including, but not limited to, vitals, assisting with in-clinic procedures, chart review, referral processing, patient education, appointment scheduling, patient form completion, and daily and weekly clinic maintenance.
• Ensure exam rooms are prepared for exam and follow the standard rooming procedure when rooming patients.
• Assist patients over the phone, in person, and through the patient portal, collecting and transmitting that information to a provider for decision making and sometimes giving the provider’s advice to the patient. The Clinical Assistant cannot perform telephone triage.
• Notify patients of test and procedure results under provider direction.
• Assist with prescription refills under the supervision of the provider, according to the Clinic Medication Refill Policy.
• Assist providers with minor procedures including, but not limited to, room setup and cleanup; specimen collection; suture, staple, and drain removal; and wound management, such as packing and changing dressing.
• Provide preoperative education to include scheduling expectations and explanation of handout materials.
• For offsite locations, provide reception and front desk functions, collecting and returning all off-site documents to the administrative team at Maple Grove for processing.
• Perform other duties as assigned.

Compliance

The Clinical Assistant must conform to Specialist in General Surgery policies, protocols, and guidelines. This includes recognizing and complying with legal regulatory, accrediting, and procedural requirements related to the area of responsibility; protecting patient and team member privacy and only accessing patient or team member-related information as needed to perform job duties; and reporting violations or areas of concern to the supervisor or Corporate Compliance Officer.

 Job Qualifications

• High school degree with additional formal training or education with completion from an approved Medical Assistant course or Licensed Practical Nurse course
• A minimum of one year of experience in a clinic setting (preferred)
• Ability to prioritize multiple tasks in an efficient manner
• Knowledge of and skill in using computer software applications
• Personal vehicle and current driver’s license in the state of residency to accommodate travel to various local work sites
• Currency with Basic Life Support
